Substituting For SESD

Thank you for your interest in a substitute position with SESD. Listed below you will find links to the necessary forms to be completed and returned to the Human Resources Office, located at 377 Main Street, Fawn Grove, PA 17321. If you are interested in a Substitute Support Staff position, which would cover Aide, Office, and Custodian substitute positions, you will need to complete all of the information below, except for the Certification or Emergency Permit section.

Standard Application - For Substitute Support Staff positions please complete the STANDARD SUPPORT STAFF APPLICATION. Be sure to specify in the Positions Applied For Section if you are interested in Aide, Office, Custodian, or all three.

Clearances - there are 3 clearances that you will need to obtain and each has a cost associated. All clearances must be no older than 12 months from the date that you are applying to become a substitute. The first clearance is the Child Abuse Clearance. You can follow the directions and either complete the form on-line or mail the clearance in. The cost is $8 - paid via credit card on line or via money order if you are mailing the form in. The second clearance is the PA Criminal Clearance. This clearance can also be completed on-line or by completing the form and mailing it in. The cost for this clearance is $8 - paid via credit card on line or via money order if you are mailing the form. The third clearance is the FBI Clearance. The cost for this clearance is $27. You will need to follow the steps on the link to register and then you will need to go to a location to be fingerprinted. You will provide Human Resources with your tracking id, which is a PAE______ so that your clearance can be accessed directly by the district within 48 hours of you being fingerprinted. Once all clearances have been obtained and you are ready to submit them to the district for approval - please also read and sign the ARREST OR CONVICTION FORM to ensure you understand your obligation to inform the district in the future if any arrests or convictions were to occur. Once all clearances are obtained bring a copy of the clearances to Human Resources, along with the originals to be reviewed. Be sure to retain your originals for your files. Human Resources is not permitted to provide the applicant with a copy of the clearances once they are on file.

TB Test - You will need to have a completed TB test dated within the past 3 months of applying to become a substitute. You may have this test completed wherever you feel appropriate and any form that they provide to you showing your results will be accepted. Payroll Forms - Several forms will be needed to ensure that when you are utilized for substituting that you are paid accordingly for tax purposes. These forms include the following: W4, Local Earned Income Tax Residency Certification Form, Local Service Tax, and Checklist for New Employees. The checklist form is for PSERS (Pennsylvania School Employees Retirement System) to ensure that you are set up accordingly. Click here for additional PSERS Information. If you are exempt from Local Tax please complete the Local Tax Exemption Form and be sure to attach all necessary paperwork. Direct Deposit is now REQUIRED by all substitutes - please complete this Direct Deposit form (therefore you must return this form) and utilize the following directions (as we SESD has a paperless payroll and this will provide you access to your pay stub on line) - EMPLOYEE PORTAL USER GUIDE. We are required to advise you that as a payrolled substitute employee of SESD you are entitled to participate in a 403(b) program - please review the 403(b) and act accordingly if you are interested.

Employment Eligibility - Please complete an I-9 and return it with a copy of the required forms of identification, which are normally a Drivers License and Birth Certificate, or a Drivers License and Social Security Card, or a Passport.

It is understood that there is a great deal of paperwork to be completed to become an approved substitute for our district and this process may take you some time. Once all documents are together, please bring them to the Human Resources Office located at the address above. You will then be added to the next upcoming agenda in order to receive approval at the School Board Meeting. Once approved, you will be contacted when the need for a substitute may arise.
